Apps that break a goal into small steps and show you the next one

Every app here can take a big goal and break it into smaller steps. Where they differ is what happens next. Some give you a checklist, some fit the steps into your day, and some show you just one step at a time. We make one of these apps, so we haven’t ranked them. Instead, here’s what each one is good at, so you can pick the one that suits you.

Something to think about first

Breaking a goal into steps helps a lot. But if you end up with a list of twelve steps, you’re still looking at twelve things. If a long list is what makes you freeze, check two things about each app: will your steps still be there tomorrow, and how many of them will you see at once?

Five apps that break goals into steps

A free breakdown, right now

Goblin Tools

Type in a task and its Magic ToDo tool splits it into smaller steps. If a step still feels too big, you can split that one too. The website is free, and if you make an account it keeps your lists on all your devices.

Best for
Getting unstuck on one task today, for free, without signing up for anything.
The catch
You get a checklist with every step on the screen at once. It isn’t really made for a goal you’ll be working on for weeks.

A visual plan for your day

Tiimo

A colourful day planner with a timeline, a focus timer and an AI helper that breaks tasks into steps. Apple named it iPhone App of the Year for 2025.

Best for
People who like to see their whole day laid out in blocks of time.
The catch
It’s built around planning a single day, so a goal that takes months doesn’t fit as neatly. The AI helper is part of the paid plan.

One small step a day, with streaks

Dendedo

You tell it your goal and answer a few questions. It then gives you one small step each day, starting really tiny, and you earn points and streaks as you go.

Best for
People who enjoy game-style rewards and are happy to let the app set the pace.
The catch
The app chooses each day’s step for you, so it works best for one goal at a time. It was only on iPhone when we checked.

Your whole plan as a tree

SplitIt

Type in a goal and it draws your plan as a tree of steps. You can split any step into smaller ones with one click, and switch between a tree view, a list, or a view that focuses on one step.

Best for
People who like to see the whole plan at once and move the pieces around.
The catch
The tree is the main view. If seeing everything at once is what makes you freeze, this may make it harder to start.

Your goal, one card at a time

Nearer

Type in your goal and Nearer breaks it into small steps, then shows you just one at a time. If a step still feels too big, press Break apart and Nearer splits just that step into smaller ones. When you finish them, you move on to the next part of your goal. It also handles everyday tasks, routines and flashcards.

Best for
People who know what they need to do but struggle to get started, and who want the plan and the doing in one place.
The catch
This is our app, so keep that in mind. There’s no free plan, no calendar, no sharing with others, and no phone app yet. It works in the web browser on any device.

Other apps that show one task at a time

Apps change their features and prices often, so check each app’s own website before you decide.

Want to try it without an app first?

You can break a goal down with just a pen and paper. Our guide walks you through it with a real example: big goal, no idea where to start.

An app becomes useful when your goal will take weeks, and you want to come back tomorrow and see the right next step straight away, without reading through your whole plan again.

Try Nearer free for 7 days

No credit card required. $79.99 per year, or $9.99 per month after the trial. See pricing.

Common questions

Is there an app that breaks a big goal into small steps?
Yes, there are a few. Goblin Tools does it for free on its website. Tiimo does it inside a day planner. Dendedo gives you one small step each day. SplitIt shows your plan as a tree. Nearer breaks your goal into steps and shows you one at a time until you’re done.
Which app shows me only the next step?
Nearer only ever shows you one card at a time. Dendedo gives you one step each day. SplitIt has a view that focuses on one step. Goblin Tools and Tiimo show all the steps together as a list.
Can I just ask ChatGPT to break my goal down?
Yes, and it’s good at writing the list. But it won’t remember where you got to, show you the next step tomorrow, or tick off the bigger step when you finish the small ones. That’s the part these apps help with.
How small should each step be?
Small enough that you know exactly how to begin. A good test is whether it takes less than about thirty minutes. If a step still makes you hesitate, break it down again.
